Large Boardroom (11-18 People)

Example Scenario:

It’s the quarterly financial meeting between your executive team and the board, who is located in another city. Your team settles in, sets up the AV equipment and begins the meeting. The numbers for this quarter are outstanding, and the board is pleased. However, the members of the board keep asking some of team members to move closer to the conference table, as they cannot hear or see them very well where they are seated or while they’re walking around when presenting.

Everyone moves in closer, yet the problem persists. After moving in and shuffling positions a second time, the meeting concludes successfully. However, those problems visibly irritated some and forced the team out of their flow, negatively affected the overall impression the board had of the team. It’s clear a better solution is needed so everyone can be heard and seen, no matter where they are in the conference room.

So now, your organization decides to upgrade the equipment in the boardroom to provide a more exceptional audio and visual experience for all participants.

But where do you start?
Naturally, the available solutions out there are vast and can be intimidating, so you may need some guidance or recommendations on what the best setup for your needs might be.

To help you get started, here’s a detailed example of one possible AV setup for a large-sized conference room.

The System:

For this room, we are leveraging the Q-SYS Ecosystem. Using a Q-SYS Core as our DSP and Control Platform, we complement the room with Q-SYS Acoustic Design™ Ceiling Speakers and Surface Speakers, CX-Q Amplifiers, the PTZ Series Camera and a Gen 3 TSC Touchscreen. While the Q-SYS is handling the Audio DSP, we will use the Shure MXA920 Ceiling Array Microphones to ensure all collaborators in the room are heard. The in room Host PC will be connected to the Christie projector allowing for use of Zoom or Microsoft Teams calls. All the AV products will be connected to one another over the network with the Netgear PoE M4250 Series ProAV Network Switch.
